The Role

This position based in our Southampton office is for a full-time Travel Support Coordinator. The Travel Support Coordinator is responsible for managing and coordinating travel arrangements for the organisation’s employees and subcontractors. Reporting to the Senior Support Manager, this role involves booking flights, accommodations, and transportation, as well as handling travel-related enquiries and issues.

Responsibilities:

  • Manage and coordinate travel arrangements for employees and subcontractors of the organisation.
  • Using in house GDS software (Amadeus) to book flights, accommodations, and transportation according to the needs and preferences of travellers.
  • Ensure timely and cost-effective travel logistics, optimising resources to minimise expenses while maintaining quality.
  • Respond promptly and effectively to travel-related inquiries and issues, providing necessary assistance and support to travellers.
  • Maintain accurate records of travel bookings, expenses, and itineraries, ensuring compliance with company policies and procedures.
  • Collaborate with the Senior Support Manager to address any travel-related challenges and implement improvements to enhance the overall travel experience for employees.
  • Stay updated on travel regulations, trends, and best practices to provide informed recommendations and advice to travellers.
  • Proactively identify opportunities for cost savings and efficiency enhancements in travel arrangements, proposing strategies for implementation.
  • Process visa applications for travellers as necessary.
  • Collaborate closely with the operations teams to ensure timely arrival of travellers in the country, meeting client requirements effectively.
  • Provide exceptional customer service to internal stakeholders, demonstrating professionalism and responsiveness in all interactions related to travel coordination.
  • Undertake any other task as determined by the needs of the business.

Qualifications and skills:

  • Demonstrated experience in travel coordination.
  • Proficiency in using Global Distribution System (GDS) software, with specific experience in ‘Amadeus’.
  • Strong communication and interpersonal skills
  • Exceptional organisational abilities, including multitasking, prioritisation, and meeting deadlines in a fast-paced environment.
  • Attention to detail and accuracy in managing travel bookings, itineraries, and expenses.
  • Problem-solving skills to address travel related inquiries and issues promptly and efficiently.
  • Knowledge of travel regulations, policies, and industry best practices, with a commitment to ensuring compliance and optimising travel experiences.
  • Customer service orientation with a focus on delivering high quality support and assistance to travellers.
  • Ability to work independently as well as collaboratively within a team, contributing to a positive and productive work environment.

Terms and conditions

  • Salary: £27,500 – £30,000
  • Annual Leave: 25 days per annum plus public holidays
  • Working hours: 08:30am to 17:30 Monday – Friday and participate in on call duty weekend
  • Job type: Full-time, permanent
