Compliance Coordinator

We have over 150 permanent staff globally, supporting over 500 commercial vessels a month with hundreds of seafarers and security personnel deployed at any one time.
Ambrey has operations in over 40 countries and Operations Managers delivering 24/7-365 support to over 150 major shipping and oil and gas clients.
THE ROLE
This position, based at Ambrey’s Head Office in Hereford or Operations Centre in Southampton, is for a full-time Compliance Coordinator working within the Compliance team and reporting to the Director of Compliance in support of the wider business focusing Document Control Management and Commercial Compliance of the Ambrey Group Management System (MS). The MS is maintained in accordance with:
- Industry regulation and legislation.
- Business regulation and legislation.
- International client and stakeholder requirements.
- Certifying Bodies audit schedules.
RESPONSIBILITIES
- Assist and support the maintenance and continual development of the Group Management System in line with the following ISO standards:
- ISO 28000:2022 & ISO 28007-1:2015 (Security Management & Maritime Security)
- ISO 9001:2015 (Quality Management)
- ISO 14001:2015 (Environmental Management)
- ISO 45001:2018 (Occupational Health & Safety)
- ISO 27001:2022 (Information Security Management)
- Maintain oversight and development of the Group Document & Records Control Procedure.
- Management of Group Document Control Register, a high-level register of core documents and procedures.
- Management of records and document control in the Group SharePoint sites inclusive of:
- Creating document templates
- Maintaining centralised records and templates in accordance with document and version control
- Distribution of documents to stakeholders
- Tracking documents to maintain confidentiality
- Reviewing documents and making revisions for accuracy
- Lead on data management review and audit cycles
- Internal support and training
- Audit support, planning, preparation, hosting audits, follow up activities and conducting internal audits.
- Due diligence documentation and response writing
- Managing queries and drafting responses to RFI’s and RFP’s.
- Contribute to tender and project management.
QUALIFICATIONS SKILLS
Role Requirements
- Education to a degree standard.
- Experience of an office-based role and commercial clients.
- Excellent IT skills covering the whole Microsoft Office Suite.
- Proficient in the use of document control databases.
- Experience with SharePoint.
- Outstanding organisational skills.
- A proactive team player with excellent communication skills.
- Familiarity with Management Systems.
- Resourceful and responsive, able to solve problems using own initiative.
- Excellent research and writing skills.
- Able to work in a fast-paced, high-pressure environment.
General Requirements

TERMS AND CONDITIONS
- Salary: GBP £ – Commensurate with experience
- Annual Leave: 25 days per annum (calendar day) plus public holidays
- Working hours: 08:30 a.m. to 17:30 a.m., Monday to Friday
